Privacy Policy

Location

Location is recorded only while a route is open. If you have not started a route, the app is not collecting your position, in the foreground or the background.

While a route is open, recording continues when the screen is locked and when the app is in the background. That is deliberate: without it your miles stop being recorded mid-trip and, if you drive for a fleet owner, you disappear from their live view of the load. Android shows an ongoing notification and iOS shows the blue status indicator the entire time.

To limit what is collected while nothing is happening:

• After the truck sits in the same place for more than 5 minutes, the app drops to low-power sampling and stops uploading positions.
• It starts recording again only after 3 consecutive readings above 5 mph that also show the truck has actually moved.
• A rest break — including a 10-hour reset — is silent the whole way through. The route never ends on a timer. It ends when you close it.

Positions are used to draw your route, compute trip miles, split those miles by state for IFTA, and — for enrolled fleet drivers — show the fleet owner and any connected dispatcher your position on an active load.

Hours of service and ELD data

HaulGPS is not an electronic logging device. It is not FMCSA-registered, it does not record duty status, and it must not be used as your ELD or as a substitute for one.

If you choose to connect one, HaulGPS reads hours-of-service data from your existing ELD provider — Motive, Samsara, Geotab or EROAD. You supply your own provider API key, and the provider sends HaulGPS a snapshot of your clocks. Your ELD provider remains the system of record and their privacy policy governs the data on their side. Removing the integration in the app stops the connection.

What else is collected

• Account. Name, email, and a hashed password. A driver who joins a fleet with an invitation code has a name and a device identifier stored as a hash, and no email or password.
• Trucks. Unit number, VIN, dimensions, weight, axle count, trailer and hazmat class, average MPG — used for truck-legal routing and per-truck reporting.
• Expenses and receipts. Amounts, vendors, dates, fuel gallons and states, and the receipt photograph itself, including its embedded location if the photo has one.
• Trips and mileage. Trip records, GPS samples, and per-state mileage summaries used for IFTA.
• Documents. Rate confirmations, bills of lading, proofs of delivery, and onboarding forms. Carrier onboarding includes a W-9, which contains a taxpayer identification number.
• Permits and weigh-station reports you upload or submit.

WhatsApp, if a dispatcher links it

A dispatcher may link a WhatsApp account so driver messages appear in the dispatch board. Read this before linking:

• Linking imports the conversation history on that account, including personal conversations unrelated to dispatch, along with group chats and attachments, into the HaulGPS database.
• Both sides of each conversation are stored, including messages sent from the linked phone.
• Only link a WhatsApp account you are willing to have stored this way. Consider using a number dedicated to dispatch.

How far back the history reaches is decided by WhatsApp, not by HaulGPS. Attachments older than a few weeks usually cannot be retrieved at all, because WhatsApp removes them from its servers.

Who else sees your data

• Your fleet owner, if you joined a fleet with an invitation code. They can see your position on an active load, your trip miles, and expenses recorded against their trucks. They cannot see your location when no route is open.
• A dispatcher you connect to, for loads they assigned you, and only while those loads are active.
• Service providers we send data to in order to work:HERE (coordinates and addresses, for routing, search and geocoding), OpenWeatherMap (coordinates, for weather along a route), Google or OpenAI (document and receipt images, to extract their fields), and Documenso (onboarding documents, for electronic signature).

HaulGPS does not sell your data, does not share it with advertisers, and contains no advertising or third-party analytics trackers.

Deleting your account

You can delete your account from inside the app, under More → Delete account. When you do:

• You are signed out immediately on every device.
• The account can be restored by signing in within 30 days.
• After 30 days your personal information — name, email, password, and device binding — is permanently erased.
• Fuel, mileage and IFTA records are kept without your name.These support tax filings that must remain available for several years. They are retained de-identified and are no longer linked to you as an identifiable person.

A fleet owner cannot delete their account while drivers are still enrolled, because doing so would take away accounts that are not theirs. Remove your drivers first.

If a fleet owner revokes your access, your expense and mileage records stay on the fleet's books. Revoking access ends your access; it does not erase what the fleet is required to keep.

Security

Passwords are hashed with argon2 and never stored in readable form. Mobile sessions use signed tokens held in the device keychain or keystore; dispatcher sessions use server-side sessions with HttpOnly cookies and CSRF protection. Deleting an account or revoking a driver invalidates every token that account holds, immediately.

No system is immune to compromise, and this policy does not claim otherwise.

Children

HaulGPS is a commercial tool for licensed operators and is not directed to anyone under 18.

Changes

If what is collected or how long it is kept changes, this page is updated and the date above changes with it.
